UKG Pro Report Rundown: HR Compliance Reporting

Welcome back to the UKG Pro® Report Rundown. The goal of this series is to inform and share resources about the robust reporting capabilities built into your UKG Pro solution. If you’re joining us for the first time, we invite you to hop over to our inaugural UKG Pro Report Rundown, which showcases four of our most popular payroll reports. 

Here’s the Rundown 

In this issue, we focus on HR compliance reports that ensure your HR practices are fair, transparent, and aligned with regulatory standards as well as assist with accurate filing to governing agencies on an annual basis. Let’s get started!  

EEO-1 Data File  

The EEO-1 Data File assists you with providing company demographic data required by the U.S. Equal Employment Opportunity Commission (EEOC). Employers with at least 100 employees must submit employment data categorized by race/ethnicity, gender, and job category. The data is then used by the federal government to monitor and enforce equal employment opportunity laws and regulations. California Pay Data Reporting File 

Like the EEO-1 report, the California Pay Data Reporting File helps fulfill the requirement for certain employers in California to submit detailed pay data broken down by gender, race, and ethnicity to the California Department of Fair Employment and Housing (DFEH). Employers must provide this information as part of California's efforts to address pay equity and combat wage discrimination in the workplace. Illinois Equal Pay Data File 

The Illinois Equal Pay Act (IEPA) is a state law designed to address and prevent wage discrimination based on sex or gender. It aims to ensure that employees in Illinois receive equal pay for performing substantially similar work regardless of gender. The Employee Detail Export file presents employee demographic data in rows and columns based on the criteria selected on the HR Diversity Dashboard. Employers can specify the date range, select the PTO earnings, and filter criteria, such as company, work locations, and other information to include in the export file. VETS-4212 Data File 

The VETS-4212 data file displays the EEO-1 Job Classifications and the number of employees in each classification to include the employee count for protected veterans and total employees within the organization. VETS-4212 is a reporting requirement by the U.S. Department of Labor's Veterans' Employment and Training Service (VETS) designed to monitor the employment of veterans by federal contractors and subcontractors. To help administrators comply with new reporting requirements, the VETS-4212 information is now generated as a comma-separated values (CSV) data file. In addition to the data file, two more informational files are provided to help reconcile data before electronically submitting the final file. OSHA Form 300A Data File 

The OSHA Form 300A Data File assists employers with providing workplace safety data as required by the Occupational Safety and Health Administration (OSHA). The OSHA Form 300A reports the total number of fatalities, missed workdays, job transfers or restrictions, injuries and illnesses. HR Diversity Dashboard  

The UKG Pro HR Diversity Dashboard provides an easy way to view and download data about your company’s workforce to help you keep up with business needs and remain competitive in your industry. The HR Diversity Dashboard allows you to filter your workforce demographic data to specific populations, such as employees by state of residence or gender. It also provides the ability to generate and download a standard Excel CSV file with filtered data, making filing at government agencies—or working with a third-party filer—a step or two easier. 

The HR Diversity Dashboard needs to be activated by a system administrator for it to be available for use. To learn more about this dashboard and how to activate it, refer to the HR Diversity Dashboard Guide.
