EmpInfo offers a free employment and income verification service for all U.S. based UKG Ready customers to use. While the installation and onboarding process is very straightforward, you might be wondering what you should do now that you’ve added this integration to your solution. Simply having it installed doesn’t guarantee that your employees will automatically adopt this new process.
Read on to discover how you can spread the word to your employees and get your entire organization using EmpInfo.
Establish a Change Management Plan
First and foremost, letting your employees and external vendors know about the new income verification process is the key to success! As with any type of change, there may be some slight bumps in the road, it’s normal. You should expect that some employees and vendors may need time getting used to this new verification process. Therefore, it’s important to establish a change management plan when rolling out and promoting the use of EmpInfo. Defining a plan of action helps ensure your workforce is well-informed and prepared to be successful.
Emphasize the Benefits
A key part of your change management plan is determining why you should make this change. When promoting EmpInfo, it’s imperative to emphasize the benefits of this new and improved verification process. One of the most significant advantages for both admins and employees alike is the reduced time required to complete a verification request. EmpInfo, as a dedicated verification service provider, ensures that requests are processed quickly and efficiently, streamlining the process, easing the workload of your admins, and quickly meeting employees' needs.
Additionally, EmpInfo helps to protect employee data. Requestors must have the Employer Code in order to access income verification, so you know exactly who is requesting this data, creating a more secure process.
Before using EmpInfo when we got a verification request, after verifying some PII, we would provide the position held and dates of employment verbally. However, even though they supplied accurate information, we could never be 100% sure who was on the other end of the phone. By utilizing EmpInfo, they have layers of security that, as a company, we did not have access to. This fills my bucket as we have another source to help keep our employees’ information safe.

Finalize your Communication Strategy
In order to finalize a communication strategy around EmpInfo, you’ll need to define how exactly you want to get the word out to your organization. And it’s important to meet your employees where they’re at. If most of your employees access the breakroom daily, consider putting up flyers about the new verification process. If your employees log into UKG Ready on a regular basis to either clock in/out, review their timesheets, or check their schedule, consider using some of the in-product tools at your disposal like the Announcements feature or creating your own custom dashboard. For external verifiers consider setting up a voicemail or automatic response for requestors that detail the new process and directs them to EmpInfo. Remember, no communication strategy will look the same, it’s completely customizable based on your organization. The important thing is that you spread the word!
