For UKG Ready Customers, the ACA Manager User Guide is available in your Online Documentation portal under My Info > Help > Online Documentation> HR. Additionally, the Learning Center under My Info > Help > Learning Center offers several job aids to help walk you through your ACA forms, along with the ACA Onboarding Learning Journey to get you started with an ACA overview, year-end processing, and running ACA reports.
Important Reminders and Updates
- If this is your first year filing ACA using UKG Ready, be sure to register with the IRS e-Services for your Transmitter Control Code (TCC). You can apply for your code here: Apply for TCC
- Furnishing printed 1095-C forms is no longer required due to the Paperwork Burden Reduction Act. You can select the option to "Share forms electronically with active employees" in the ACA Year-End Processing checklist. To take advantage of this new process, employers must notify employees that they can request a copy of Form 1095-B or 1095-C, and it must be provided within 30 days of the request. Please note that any state requirements remain unchanged.
- Trusaic E-filing options are now available within your solution as an additional add-on.
New ACA laws and reporting rules:
- Employers may provide electronic copies of Form 1095-C if the individual has previously given electronic consent unless that consent has been revoked in writing.
- A six-year statute of limitations for ACA-related penalty assessments has been established. Additionally, the response period for Letter 226J has been extended from 30 days to 90 days.
- Employers are permitted to use an employee's full name and date of birth instead of a taxpayer identification number.
Key deadlines:
- February 28, 2025: Paper filing due for Forms 1094-C and 1095-C
- March 3, 2025: Forms 1095-C must be provided to individuals
- March 31, 2025 AIR electronic filing due
