Goodwill of Central and Coastal Virginia uses UKG Ready to more efficiently manage its workforce and effectively use its funds to fulfill its mission.

Goodwill of Central and Coastal Virginia (GCCV) strives to empower individuals, strengthen families, and build prosperous communities by providing pathways to employment both in the community and within its own retail operations and contract services.

Challenges

With its use of manual human capital management (HCM) processes and workforce data scattered across multiple applications, GCCV had limited visibility into timely and accurate workforce information. Further limitations included the organization's use of an HRIS system that didn't allow HR, payroll, and finance staff to access the system at the same time.

GCCV tracked its associates' time off on a paper grid, creating issues when managers forgot to input approved time-off requests — and total vacation time taken by an associate was sometimes unclear.

In addition, managers found completing performance and compensation reviews on spreadsheets to be complex and difficult.

Solutions

To better manage its workforce, GCCV determined that it needed an HCM solution that utilizes a single database of associate information across all functionality. The organization also wanted a comprehensive HRIS solution that could handle a wide range of HCM needs, from payroll and HR to timekeeping and scheduling.

For associates working in off-site contract positions, GCCV needed a mobile solution that would enable these associates to punch in and out and submit time-off requests remotely. It also needed the ability to easily track and report on labor tied to specific projects and grant-funded work.

And to fulfill its mission of empowering individuals and building their skills, GCCV wanted to automate performance and compensation management to ensure associates received timely evaluations and that the organization's complex compensation rules are followed.

Retail store and off-site associates feel more engaged now that they can punch in and out at a terminal or on a mobile device as well as use self-service tools to see their schedules, view their accrual balances, request time off, and check the status of a time-off request. The engagement of associates has been further enhanced with the compensation management tools in UKG Ready being used to equitably distribute funds from the salary pool.

Managers are using mobile devices to more efficiently and effectively manage associates — and labor costs. They can approve time-off requests on their mobile devices, view where associates' mobile time punches occurred, and see how associate hours compare to budget. The solution's reporting functionality also gives managers insight into hours worked by location and labor hours tied to grants and projects.
