Denton County

Denton County, Texas, is home to more than 900,000 people and is the seventh-largest county in the state.

Challenges

Departmental timekeepers for Denton County’s 80 departments — public works, law enforcement, courts division, tax collection, motor vehicle registration, financial, and more — manually input employee time on computer sheets before couriers collected them at locations across 900 square miles.

Six payroll staff input time and accrual information for the county’s 1,200 employees every two weeks, a tiresome task open to error. With growing employee numbers, the county needed to add additional payroll staff or move to an automated solution to handle the added work.

Solutions

Denton County procured a UKG® workforce management solution using the Texas #DIR-TSO-2585 Contract, held by immixTechnology Inc., and has experienced increased efficiencies and productivity, better control of labor costs, improved compliance, and greater employee engagement. The UKG solution interfaces with the county’s STW, Inc. financial system.

Results

All employees, including law enforcement, clock in and out in the UKG solution. Salaried exempt employees track their time to accrue comp time for work beyond 80 hours each biweekly pay period. The solution enables flexible weekly schedules so managers can more efficiently manage staff, and credits comp or vacation time if an employee works fewer than 80 hours in a pay period.

Using self-service tools at timeclocks — and on mobile devices for 100 field staff — employees can see their time and accrual information. With visibility into and ownership of this information, employees are more engaged — improving employee retention. Efficiencies have kept payroll staff to six while employee numbers swelled to 1,800.

The UKG solution also configures and accurately applies a wide range of work and pay rules across multiple departments, including for public safety employees who are scheduled to meet 24/7 demands. With rules consistently applied, employees feel more confident they are correctly paid.
